Mailbox registration and ownership

Once your domain is verified and activated, you can start setting up mailboxes in Unify. When setting up a mailbox, provide the names of your senders to your CSM or create mailboxes from the mailbox settings page if that workflow is enabled for your workspace. Unify will then create email mailboxes for you (for example, jane@mybusiness.io).

Sending emails

Through the Unify Sequencing product, you can send emails using your Unify-managed mailboxes. The email signature and display name are pulled from the assigned user. Unify automatically schedules emails and manages sending volume across your mailboxes.

Receiving emails

Replies to jane@mybusiness.io will be forwarded to the assigned user. For example, email replies sent to the Unify-managed mailbox jane@mybusiness.io will be forwarded to Jane Doe's primary email jane@mybusiness.com.

Mailbox warmup

When a mailbox is created, Unify automatically starts warming the mailbox to protect deliverability. Warming works by automatically sending emails to addresses in a warming network. These emails are automatically opened and replied to. If warming emails land in spam, they are taken out of spam, which is called spam rescue. This tells email service providers that your emails are high-quality and helps improve deliverability. Unify continuously monitors the warmup process. After about 3 weeks, warmup will complete and your mailboxes will be ready to send. Once your mailboxes are warmed, they can send up to the configured mailbox send limit. Unify recommends 25 emails per mailbox per day by default, and Unify-managed mailboxes can be configured up to 65 emails per mailbox per day when appropriate. By default, send times are set to 9 AM - 4 PM PT on business days.

Secondary forward

There are situations, such as vacation coverage, where you need a second user to monitor replies for another user. You can set a secondary forwarding user on a Unify-managed mailbox. This user receives a copy of replies sent to the mailbox. For example, if John Doe is helping Jane Doe during her vacation, replies to jane@mybusiness.io can also be forwarded to john@mybusiness.com, John’s primary email.
